Who is in, by role
Attendance appears live on every permitted screen, and each role sees only the data it may see.
What it does
- Stock and items
- Items with variants, each with its own SKU, barcode and stock level. Plus barcode lookup, label printing, taking and putting stock.
- An append-only stock ledger
- Every stock movement is appended and none is overwritten. Corrections are new movements, so every count can be explained.
- Suppliers and purchase orders
- Suppliers with full records. Purchase orders move through clear states such as “Draft”, “Approved” and “Ordered”, and partial deliveries are booked as real stock.
- Reorder rules
- When an item reaches its reorder point, the rule drafts a purchase order and stops. You approve and order it yourself. Professional plan and above.
- Batches and expiry dates
- Batch and lot tracking with expiry dates, expiry reports and FEFO recommendations: what expires first is picked first. Professional plan and above.
- Attendance and time off
- Check in and out, manual entries and corrections, and a live “Who’s In” view. Absence requests in seven types are approved or rejected.
- Shift plans
- Versioned shift templates, assignments from a start date and one-off overrides for single days.
- AI assistant
- Searches items, checks stock levels and prepares changes such as purchase-order drafts or absence requests. Every change shows all its details in the “Confirm action” dialog and runs only after you confirm; unconfirmed proposals expire after 10 minutes. Professional plan and above.
- AI document understanding
- Images, PDFs and text files get a title, a description and a suggested category, and their text becomes searchable. You apply the category yourself. Professional plan and above, switched on per organization.
- Roles and live updates
- The roles “Owner”, “Department Lead” and “Member”, plus custom roles with a permission matrix. Changes appear live on every permitted screen, each showing only the data that role may see.
- Reports and export
- Stock reports on valuation, aging, movements and low stock, and an attendance report per person. Export as CSV or JSON, item import from CSV.
- Two languages
- Interface in German and English, chosen per person, with a default language per organization.
What it deliberately doesn’t do
- Orchido never sends orders to suppliers
- The AI assistant changes nothing without your confirmation
- Corrections never overwrite stock history
- The AI never files a document under a category itself; it only suggests one
How it’s built
A browser app in React 19, strict TypeScript, Vite and TanStack Query; a Node.js 22 backend with Express, Sequelize and MySQL, Redis and BullMQ for background jobs, and live updates over Socket.IO. The AI assistant uses the OpenAI Responses API with function calling behind a provider-neutral port. Billing runs on Stripe, hosting on Docker and Nginx, CI/CD on GitHub Actions.
