Orchido – stock, orders, shift plans
Orchido, formerly Ordinizer, is the web software that Axenta GmbH operates and sells: stock, suppliers and purchase orders, attendance, time off and shift plans on one shared record that updates live. This guide covers who Orchido is for, what you do with it day to day, and how to try it yourself.
Who Orchido is for
Orchido suits small teams that no longer want to run stock, orders and staffing in separate spreadsheets: retail, hospitality or any team with a stockroom and a shift roster. Once several people need to look at the same stock and the same shift plan, one shared, live-updating system brings order to the day.
Because everyone looks at the same live view, nobody has to email a spreadsheet around or walk over to the stockroom to ask whether a delivery has arrived yet. Whoever holds a role sees exactly the data that role may see, and changes show up at once on every permitted screen.
What you do with it day to day
At its core, Orchido manages items with variants, each with its own SKU, barcode and stock level, plus barcode lookup, label printing, and taking and putting stock. Every stock movement is appended and none is overwritten: you correct a wrongly recorded quantity with a new movement, and the history stays explainable.
Suppliers get full records, and purchase orders move through clear states: “Draft”, “Approved” and “Ordered”, with real partial deliveries. When an item reaches its reorder point, a reorder rule automatically drafts a purchase order and stops there; approving and ordering stay with you. The Professional plan adds batch and expiry tracking with FEFO recommendations: what expires first is picked first.
- Attendance and time off: check in and out, a live “Who’s In” view, and absence requests in seven types approved or rejected.
- Shift plans: versioned shift templates, assignments from a start date, and one-off overrides for single days.
- Roles and live updates: “Owner”, “Department Lead” and “Member”, plus custom roles with a permission matrix; changes appear live, each showing only the data that role may see.
- Reports and export: stock reports on valuation, aging, movements and low stock, an attendance report per person, export as CSV or JSON.
Switching over from a spreadsheet is easy: you import items from a CSV file, and every stock or attendance report can be exported again as CSV or JSON, for example for bookkeeping or an outside analysis. The interface is available in German and English throughout, chosen per person, with a default language per organization.

One record for stock and team
Every stock movement is appended, none is overwritten. When an item drops below its minimum, everyone with access sees it at once.

The draft waits
The rule only writes a draft. Nothing is ordered: the step to the supplier is yours to take.
The AI assistant asks before it changes anything
On the Professional plan, the AI assistant searches items, checks stock levels and prepares changes such as a purchase-order draft or an absence request. Every change shows all its details as a field-and-value list in the “Confirm action” dialog and runs only after you confirm; unconfirmed proposals expire after 10 minutes. Images, PDFs and text files get a suggested category and become searchable; you apply the category yourself.
Where Orchido deliberately draws the line
Orchido draws a deliberate line in a few places. It never sends an order to a supplier, not by email and not through an interface; sending it stays with you. The AI assistant changes nothing without your confirmation, and corrections never overwrite stock history, they only add a new movement to it. When AI document understanding suggests a category, it never files the document under it itself; that decision stays with you.
